CALL TO ORDER:
Bill Leavitt called the meeting to order at 9:00am. Members
in attendance were Bill Leavitt, Dave Hubbard, Tom Voss, Joyce Kendall, and Bud
Stewart. Cynthia Krumenaker
represented Antares Group, Inc.
BUSINESS FOR DISCUSSION:
Replacement of Progressive Community Management:
The primary focus of this meeting was to discuss a letter
received from Progressive Community Management Inc. advising us that they will
no longer be able to continue as our management company. Having been looking for
a new management company, we invited a potential new management company to the
meeting to replace Progressive Community Management.
Cynthia Krumenaker, owner of Antares Group, Inc., described
her company and explained what services we can expect. Antares manages thirty
accounts including Oak Forest and High Point. There will be an agent on site one
day per week and will attend six board meetings and the annual meeting each
year. Among other items they will maintain accounting records and provide the
Board of Directors with monthly financial reports. A smooth transition from
Progressive Community Management to Antares is anticipated. Antares would be
sending out an introductory letter to all owners along with an owner information
sheet for owners to complete to update owner information.
A motion was made by Dave Hubbard, seconded by Bud Stewart
to accept Antares Group, Inc., for our new management company.
The motion passed unanimously.
Insurance:
Dave Hubbard told the Board that instead of an anticipated
50% increase in insurance, as projected by our agent, the increase will be over
100%. We are looking at a cost in excess of $48,000 for the same coverage as
last year. This includes $33,000.00 of wind insurance, which will be issued by
Citizens. This will result in our insurance expense being $16,000 over budget
for 2007, a problem that the Board must deal with in the near future.
Note that Rowley Insurance sent out bids to five companies, three of
which did not respond. It was suggested that we might want to look into a larger
deductible.
There is a question of employment and insurance for Ken
Piotter, GCA’s maintenance man. Antares Group, Inc., will not handle his
employment, therefore GCA must handle it. Dave
asked for and received authority to go to an attorney to have a contract drawn
up for Ken. This contract will
address both the employment and insurance issues.
